Laboratory eFax management
Most laboratories still receive a meaningful share of their work by fax. Left alone, that queue is a pile. Run properly, it is a pipeline: every document classified, read, validated and filed against the right patient and order.
What the platform does, and what people do
This distinction is worth being precise about. One is a capability you configure; the other is trained staff doing work inside it.
The platform provides
- Fax and document intake into a monitored queue
- Document classification before anything becomes an order
- OCR and field-level extraction with confidence scoring
- Patient and order matching with duplicate detection
Our team does
- Monitoring the queue through the working day
- Validating extracted data and resolving low-confidence fields
- Handling illegible, misrouted and mixed documents
- Escalating anything that does not fit the rules
What is covered
Fax monitoring
The inbound queue watched continuously rather than checked when someone remembers.
Document classification
Order forms, insurance documents, records and result reports separated before processing.
OCR and extraction
Demographics, provider, payer and requested tests read off the page with per-field confidence.
Patient and order matching
Documents matched to existing patients and orders; near-matches flagged rather than merged.
Manual validation
A person confirms what the automation proposed before it becomes an order.
Exception management
Illegible pages, missing information and misrouted documents worked to your escalation rules.
The engagement, in four steps
Nothing here starts with our staff guessing at your rules. It starts with documenting them.
- 01
Connect the queue
Inbound fax and document sources are routed into a per-laboratory intake folder.
- 02
Classify and read
Each document is typed, split per patient where needed, and read field by field.
- 03
Validate
Extraction is checked against validation rules; low-confidence and failed fields are held.
- 04
File it
Confirmed records are created in the LIS or portal with the original document attached.
eFax Management questions
What happens to a document that is not an order?
Classification happens before anything becomes an order. A result report or an unrelated record dropped into an order queue is identified as such and routed accordingly, instead of turning into a phantom order that has to be cleaned up later.
How is a multi-patient fax handled?
A packet containing several patients is split into one record per patient, each with its own pages, extraction and review state, while the original document stays linked to all of them.
